How much does Housecall Pro really cost for 3 technicians?

A 3-truck HVAC, plumbing or electrical shop pricing Housecall Pro. Here is the monthly subscription, the card fee for each way a customer pays, and the contract terms that decide how hard it is to leave.

The short answer

Three technicians fit on Housecall Pro Essentials: $149 a month billed annually, or $189 billed monthly.

Essentials includes 5 users, so 3 technicians plus an office person need no extra seats. The subscription is the smaller part of the bill. On $15,000 a month collected by card, fees run from about $389 (all on the card reader) to about $524 (all keyed in), depending on how each customer pays. Annual billing saves $480 a year over monthly billing, but Housecall Pro's terms say subscription fees are not refunded.

Basic includes one user, so a 3-technician crew needs Essentials at minimum. Housecall Pro showed promotional prices on Oct 4 (Essentials $26 for the first month, Max $99 a month for 3 months) that will change: compare the regular price. What the headline price leaves out

The card fee depends on how the customer pays

The pricing page says "as low as 2.59%". Housecall Pro's own payments help article lists a rate for each way of taking a card:

Also listed: instant payout adds 1%; PayPal and Venmo 2.99%; Tap to Pay on Mobile adds $5 per active device per month (3 devices = $15); mobile check deposit is free. The article states no per-transaction fixed fee and does not publish a chargeback fee. Payouts take 2 business days, up to 7 business days for the first one.

Worked example (illustration only): a 3-technician HVAC shop collects $15,000 a month across 30 invoices. Say 40% is paid on the card reader ($6,000 x 2.59% = $155.40), 40% by online invoice ($6,000 x 2.99% = $179.40) and 20% is keyed in ($3,000 x 3.49% = $104.70). Card fees total $439.50, and with Essentials billed annually the all-in cost is about $588.50 a month. If the keyed-in $3,000 moves to bank transfer at 1% ($30), fees fall to $364.80, a saving of $74.70 a month. Your mix will differ: this shows how to check, not what you will pay.
Against Jobber's card fee

Which one costs less to take a card payment

Jobber publishes one card rate, 2.9% + 30c. Worthd's arithmetic from the two published rates: on the card reader Housecall Pro's 2.59% is lower than Jobber at any invoice size. On an online invoice, Housecall Pro's 2.99% is lower only below about $333 (2.9% + 30c equals 2.99% at a $333 invoice). A shop whose average ticket is $500 pays $14.95 on an online invoice at Housecall Pro and $14.80 at Jobber. Keyed-in cards at 3.49% are the costly path on either side of that line, so ask your office to send an invoice link or use the reader instead.

If you pick annual billing, put the renewal date in your calendar the day you sign and export your customer list before you cancel. Worthd could not find a stated notice period for non-renewal, so ask support to confirm it, and the cancellation route, in writing.

When Housecall Pro may not fit

Skip it if you expect to pass 8 users: every extra Max user is $35 a month, and at 15 users it costs more than Jobber Grow. Also be careful if most of your payments are keyed in or on Amex, where the rate is 3.49%, or if you need a written promise on data export before you sign.
