Crew scheduling and time tracking for 5 to 10 people: what it costs

A 5 to 10 person plumbing, HVAC, electrical, cleaning or landscaping shop that schedules the crew and pays hours from a text thread or a whiteboard. What Connecteam, Homebase and Workyard charge at 5, 10 and 15 people, and the point where free stops.

The short answer

At 5 or 10 people, Connecteam and Homebase both list $0. At 15, Connecteam is $29 a month and Homebase $30.

Workyard has no free plan and starts at $6 a user, which is $30 for 5 people and $60 for 10. The extra money buys job-site geofences and job costing, not a better schedule. If you only need to see who works where and export hours to payroll, you do not need to pay anything until the 11th person.

Connecteam and Homebase prices are from each vendor's pricing page on Oct 12, 2026. Connecteam's yearly toggle shows "save 18%"; the listed prices are $29 yearly against $35 monthly. Workyard's totals are 5, 10 and 15 users x $6, a floor: its page says "start at" and does not list the Pro or Autopilot price. Homebase's page also shows a Plus plan at $70 with a promo and an All-in-One at $120; neither is needed to schedule and track a crew.

A real shop

A 10-person shop, then the 11th hire

LineConnecteamHomebaseWorkyard
10 people, one location, one year$0$010 x $6 x 12 = $720 at the starting price
11 people, one year$29 x 12 = $348 (or $35 x 12 = $420 monthly)$30 x 12 = $36011 x $6 x 12 = $792
Add payroll, 10 people paidPayroll integration listed on Basic; payroll tool not priced here$49 + 10 x $6 = $109 a month on the Homebase payroll add-onPayroll export listed; no payroll run

Check: 29 x 12 = 348; 35 x 12 = 420; 30 x 12 = 360; 10 x 6 = 60, x 12 = 720; 11 x 6 = 66, x 12 = 792; 49 + (10 x 6) = 109. The jump from $0 to $29 or $30 happens at the 11th person on both free plans. Both are billed per hub or per location, not per user, so the 11th to 30th person adds nothing on Connecteam and nothing on Homebase Essentials.

What paying more buys

The three things worth paying for

  • Geofences. Clock-in only works at the job site. Connecteam: Operations Advanced, $49 a month for up to 10 sites. Workyard: Pro, price not published. Not listed for Homebase's free plan.
  • Job costing. Labor cost by job. Workyard Pro lists it; Connecteam's and Homebase's pages do not.
  • Payroll in the same tool. Only Homebase prices a payroll add-on ($49 plus $6 per employee). If your payroll is Gusto or QuickBooks, an export is enough: see what payroll costs when you hire your 2nd to 5th tech.
Terms

What the pricing pages say about contracts

  • Connecteam: 14-day free trial, no credit card. The page gives no contract length, cancellation or refund terms; the only billing choice is monthly or yearly.
  • Homebase: 14-day trial of All-in-One, no credit card. If you pick nothing the account drops to Basic; teams over 10 employees or more than one location must choose a paid plan. "Change plan or cancel anytime." The payroll offer is limited time.
  • Workyard: 14-day trial, no credit card, "cancel anytime". Monthly billing exists but its price is not listed. The page gives no contract length.
Who this is wrong for

Skip a standalone crew app if

  • You already pay for Jobber or Housecall Pro: both schedule and track technicians inside the plan. See Jobber vs Housecall Pro at 3, 8 and 15 users.
  • You need job costing by phase or by cost code: that is Workyard Pro or a field service tool, not the free tiers.
  • You have more than one location and 10 or fewer employees: Homebase's free plan is for one location.
Questions owners ask

FAQ

Is Connecteam really free for a 5-person crew?

Connecteam's pricing page lists a Small Business Plan as free for life for up to 10 users, with all hubs. At 5 or 10 people the bill is $0. At 11 or more users you move to a paid hub: Operations Basic is $29 a month billed yearly ($35 billed monthly) and covers the first 30 users. Checked Oct 12, 2026.

How much does Connecteam cost for 15 or 25 employees?

One paid hub covers the first 30 users, so 15 and 25 people cost the same: Operations Basic is $29 a month billed yearly or $35 billed monthly, which is $348 or $420 a year. The Operations hub has the time clock, job scheduling, forms and tasks. Chat is in the separate Communications hub, priced the same way. Checked Oct 12, 2026.

Is Homebase free for a small trades crew?

Homebase's Basic plan is $0 for up to 10 employees on one location, with basic scheduling and time tracking. Past 10 employees you pay for Essentials at $30 a month per location with unlimited employees. Payroll is an add-on at $49 a month plus $6 per employee paid. Checked Oct 12, 2026.

What does Workyard cost per user?

Workyard's pricing page says plans start at $6 per user per month billed annually, which is $30 a month for 5 people and $60 for 10. It does not list the price of the Pro plan, which adds scheduling, job costing and geofence clock-in rules, so a shop that needs those has to ask for a quote. Checked Oct 12, 2026.

Do I need geofencing to stop time theft on job sites?

Not for the clock itself: Connecteam's Basic Operations plan lists clock in and out with GPS. Geofences, which only let someone clock in at a job site, start at Operations Advanced ($49 a month billed yearly, up to 10 geofence sites) on Connecteam and at the Pro plan on Workyard. Whether that is worth paying for depends on how often your crew clocks in from home.

Does it connect to payroll or QuickBooks?

Connecteam's Basic Operations plan lists a payroll integration, and Workyard's Starter lists a payroll export; Worthd did not verify which payroll tools it supports. Worthd did not verify which payroll tools Connecteam connects to or any link to Jobber or Housecall Pro, so check both before you move your payroll.

What was not verified

Whether Connecteam's free plan limits GPS or any feature versus the paid plans beyond the page's "all hubs and all features" footnote, which payroll tools Connecteam connects to, Workyard's Pro price, the Homebase annual versus monthly price, any Jobber or Housecall Pro integration, and prices of other tools (When I Work, Deputy, Clockshark and others are not covered). Worthd has not run these apps with a crew.
